Notification of Terms and Conditions
Our commitment to you
You will always be assessed by a qualified physiotherapist, personal trainer or sports therapist depending on the service you require. You will then be seen by either a qualified physiotherapist, personal trainer, sports therapist or rehab therapist. Our physiotherapists are all registered with the Health and Care Professions Council and Chartered Society of Physiotherapists and will examine and treat you in line with the Chartered Society of Physiotherapy’s or Sports Therapies code of practice. After examination the physiotherapist, personal trainer or sports therapist will explain her/his assessment of the presenting concerns and propose treatment if appropriate, explaining what is involved, including any risks. You may decline any of the treatments proposed, without prejudice.
Your consultation and treatment will usually be on a one-to-one basis (unless otherwise agreed) and in the privacy of the treatment room.
Your appointment/s will be scheduled according to their needs and to the best of our ability.

Fees for Assessment/Treatment
Depending on which therapist you are seeing will determine the cost. This is calculated through experience and hierarchy within the practice, however all therapists are trained to the same standards and you should seek treatment from the next available if in pain or discomfort. Prices are subject to change at any time to coincide with governmental increases. All fees for therapists and other modalities such as the NovoTHOR system can be found on our website.
Letters & Reports
Requested reports and/or letters are charged in respect of the total time taken to prepare them. They are based on the standard therapy costs as shown above.
Telephone conversations over 15 minutes will be charged and are again based on the above standard therapy costs. Administration charges are billed at £50.00 per hour.
Training
East Devon Physical Therapy can be a teaching centre and has university students and work experience students shadowing/treating alongside our qualified therapists. If you do not want to have a student present, please advise the treating therapist.
Cancellation Policy
East Devon Physical Therapy requires 24 hours-notice of any cancellation.
If you need to cancel / re-arrange any appointments, please give us 24hrs notice. The ways you can contact us to advise us of a cancellation are by telephone to 01297 598605 or by email to info@eastdevonphysicaltherapy.co.uk, or select cancel on your appointment emails. Out of normal working hours there is an answerphone for you to leave a message.
We are aware that due to the nature of our service some individuals will have to cancel with short notice, however we must treat all clients the same and with less than 24-hours-notice we are unlikely to fill that appointment slot. Therefore, failure to provide 24 hours-notice of a cancellation for any reason will incur a cancellation charge which is the full cost of consultation charges at our clinic or domiciliary visits.
If there are a significant number of cancellations made on your account, we will contact you to discuss and agree a solution.
Clinic Appointments
If a patient is more than 15 minutes late for their scheduled appointment, it will be at the discretion of the therapist if they can be treated or not.
Clients under 18 years of age
We require written or verbal consent from your parent or legal guardian if you are younger than 18 years of age, who must also agree to be bound by these Terms & Conditions of Service Agreement. They must further provide proper supervision in relation to the provision of information to us and provide proper supervision in relation to your use of therapy. All written communication with patients under the age of 18 will be via their parent or guardian’s email address.
Payment Terms
Payment for initial consultations for private paying individuals must be made at time of booking. Payment for all other treatments is required at time of treatment or when booking online.
Treatment Packages
Once a treatment package has been purchased, there is no cancellation available. You can however, gift it to somebody else to use. Simply let our team know who you would like that credit applied towards.
Insurance & Regulation
We confirm that East Devon Physical Therapy hold the appropriate professional indemnity insurance in respect of your treatment. We confirm that our Physiotherapists are regulated by the Health and Care Professions Council and are members of the Chartered Society of Physiotherapists. Our Sports Therapists are regulated by The Society Of Sports Therapists and abide to the codes of professionalism.
GDPR
We will treat all information, facts, matters, documents and all other materials of a confidential nature which we receive or create as a result of your treatment as confidential. All written, audio, visual and video records will be stored securely. Information shared within the treatment sessions will be treated with the strictest of confidence and at no time will this information be shared with any third parties without your consent. East Devon Physical Therapy confirms that we are GDPR compliant and are registered with the Information Commissioners Office on the “Register of Data Controllers” as required by the Data Protection Act 1998. All data held by us is processed in accordance with GDPR.
Consent
Clients are required to consent to assessment and treatment. They are expected to respect the clinician during the treatment sessions. Aggressive and/or abusive behaviour will not be tolerated. Additional permission will be required for audio / video recording and for the circulation of reports to other relevant professionals.
Withdrawal
The client is free to withdraw from therapy at any time without stating a reason provided that 24hrs notice is given for any booked appointments. As per the above section – no refunds are available on packaged treatments.
Termination of Therapy
East Devon Physical Therapy reserves the right to terminate therapy at any time.
